1. Who We Are

This policy applies to Holycrust Pizza, trading as Holycrust Pizza, at 407 High Rd, Harrow HA3 6EL. We are the data controller responsible for your personal data when you visit our website, place an order, join our Loyalty Club, or register for a promo code.

If you have any question about this policy or how we handle your data, you can contact us using the details at the end of this page.

2. Information We Collect

We only collect the personal data we genuinely need to take your order, run our Loyalty Club, send you an offer you asked for, or improve our service. Depending on how you use our site, this may include:

  • Order details: your name, email address, mobile number, delivery address, and what you ordered.
  • Loyalty Club details: your name, email or mobile number, and your stamp count, used to identify your digital stamp card.
  • Offers and promo registration: your name, email address and mobile number, collected when you register through our QR pamphlet or Promo page.
  • Enquiries: any information you give us when you call, email or message us with a question.
  • Technical information: your IP address, browser type, device information and how you use our website, collected automatically through cookies and similar technologies.

We do not collect any special category data such as health, religious or biometric information, other than dietary or allergen preferences you choose to tell us about when placing an order.

3. How We Use Your Information

We use your personal data to:

  • Take, prepare, deliver and confirm your order.
  • Operate your Loyalty Club stamp card and apply your free pizza reward once earned.
  • Send you a promo code or exclusive offer you registered for.
  • Respond to questions, complaints or feedback you send us.
  • Keep our website secure and understand how it is used, so we can improve it.
  • Meet our legal obligations, for example keeping financial records for tax purposes.

Our lawful basis for this processing is that it is necessary to fulfil a contract with you (placing an order), your consent (marketing, Loyalty Club and promo registration), or our legitimate interest in running and improving our business, which we balance against your rights.

4. Payment Information

We do not store your card or payment details on our systems, at any time, for any reason.

All payments are processed securely by Stripe, our payment provider. Stripe is PCI DSS compliant, which is the security standard used across the payments industry. Your full card number and security code are entered directly with Stripe and are never seen or stored by Holycrust Pizza.

5. Marketing, Loyalty and Offers

Placing an order does not automatically sign you up to receive marketing. You will only receive offers, promo codes or Loyalty Club updates from us if you have chosen to register for them.

You can unsubscribe or opt out of marketing at any time by using the unsubscribe link in any email we send you, replying STOP to any text message, or contacting us directly. Opting out of marketing does not affect your ability to place orders with us.

6. Cookies

Our website uses cookies to make the site work properly, remember your basic preferences such as delivery or collection, and, with your consent, to understand site traffic and measure the performance of our advertising.

You can choose which non essential cookies to allow through our cookie settings banner at any time, and you can change your choice whenever you like.

7. Who We Share Data With

We share personal data only with trusted service providers who help us run our business, and only to the extent needed for them to provide their service to us. This includes:

  • Stripe, to process your payment securely.
  • Email and messaging providers, to send order confirmations, receipts and any marketing you have opted into.
  • Google, for basic website analytics and, where you have consented to advertising cookies, for measuring our advertising.

We never sell your personal data to anyone, and we do not share it with third parties for their own independent marketing.

8. How Long We Keep Your Data

  • Order and payment records are kept for as long as required by UK tax law, generally around six years.
  • Loyalty Club data is kept for as long as your account remains active.
  • Marketing and promo registration data is kept until you unsubscribe or ask us to remove it.
  • Website analytics data is kept only for as long as needed to understand trends, and is generally held in an aggregated or anonymised form.

9. Your Rights

Under UK data protection law, you have the right to:

  • Ask us what personal data we hold about you and receive a copy of it.
  • Ask us to correct any information that is inaccurate or incomplete.
  • Ask us to delete your personal data, subject to any legal requirement for us to keep it.
  • Ask us to restrict or object to certain processing of your data.
  • Receive your data in a portable format where technically possible.
  • Withdraw your consent to marketing at any time.

To use any of these rights, please contact us using the details below. We will normally respond within one month.

10. Children

Our website and ordering service are intended for use by adults. We do not knowingly collect personal data from children, and the Loyalty Club and promo registration forms should only be completed by someone aged 18 or over.

11. Security

We use appropriate technical and organisational measures to protect your personal data, including secure hosting, restricted access to customer information, and never storing payment card details on our own systems. No method of transmission over the internet is completely secure, but we work to protect your information at every stage.

12. Changes to This Policy

We may update this policy from time to time, for example if we introduce a new feature or change a service provider. Any changes will be posted on this page along with an updated date at the top.

13. How to Complain

If you are unhappy with how we have handled your personal data, please contact us first so we can put things right. We aim to acknowledge any complaint within 30 days.

You also have the right to complain directly to the Information Commissioner's Office (ICO), the UK regulator for data protection, at ico.org.uk or by calling 0303 123 1113.
